Campaign Timeline

Use the guidelines below to help plan and execute your Workplace Giving Campaign:

Friendly Reminders
  • One to two weeks is the perfect amount of time to kick off your campaign, get the message out, and make your ask without overburdening staff.

  • Most campaigns take place between mid-September and mid-November, but they can happen any time that is best suited for your company.

  • Employees can give via payroll deduction, online or check. For donations made online or check, please see if they can be matched by your company.

Plan Your Campaign
  • Review the Workplace Giving Toolkit for guidance on how to run a successful campaign

  • Meet with your Crohn’s & Colitis Foundation representative to set goals and brainstorm activities

  • Create your campaign timeline with start and end dates

  • The length of the campaign is up to you—a week or a month

  • Meet with your CEO and other top management to secure their support

  • Ask your employer to match employee gifts (check your company’s matching gift policies)

  • Recruit a team to help with your campaign if needed. Bring in people from different departments and levels so that you can increase participation!

  • Download marketing materials to enhance your campaign promotion

  • Talk with your Foundation representative to have them speak at a company luncheon or event

Begin Your Campaign
  • Distribute a message from your CEO to all staff announcing the campaign in advance

  • Host an official kickoff event with a Foundation representative or volunteer as a speaker

  • Host a separate leadership event and ask top management to complete their workplace giving donation depending on your company’s procedure

  • If possible, host an event for young professionals in your organization to show them how to get involved with workplace giving

  • Display posters and share Foundation brochures to spread the word

  • Send email reminders to all employees providing a status for your campaign

End Your Campaign
  • Check that all employees have responded with a donation, if interested. Aim for 100% participation

  • Hold a Wrap Up event to thank all those who have contributed to the campaign

  • Ask your CEO to send a thank you letter or email to all employees for their participation

  • Confirm participation by keeping track of those who signed up or contributed via workplace giving. If colleagues aren’t interested in designating the Foundation, see if they’d be willing to make general donation that will be matched by your employer.

  • Announce your results to all employees

Let’s give to the Crohn’s & Colitis Foundation at work!

Body of email

[Recipient first name],

Have you decided on a charity to give to through our workplace giving program this year? If you haven’t, I wanted to suggest supporting the Crohn’s & Colitis Foundation. I’m hoping we can get a whole group of us at [COMPANY NAME] to donate to them this year. Here’s why.

Our money will be put to good use. 1 in 100 Americans live with Crohn’s disease or ulcerative colitis, two painful, medically incurable digestive diseases that attack the digestive system. These diseases are much more than just a stomachache- they cause crippling pain, urgency, diarrhea, rectal bleeding, weight loss, and fatigue. And many people living with these diseases end up hospitalized and needing surgery.

The Crohn’s & Colitis Foundation was founded over 50 years ago by patients for patients. It is the leading organization in the United States dedicated to finding cures for Crohn’s disease and ulcerative colitis, and to improve the quality of life for patients living with these diseases. They’ve been involved in every breakthrough in IBD research over the past 50 years and they also provide critical education, support, and advocacy programs for patients, caregivers, and professionals.

Despite the number of people affected by these diseases, there is little awareness and understanding of just how devastating these diseases can be. That’s why we need to help the Crohn’s & Colitis Foundation realize their vision of a future free from Crohn’s and colitis. This is such important work: it will change millions of lives for adults and kids. Will you join me in supporting the Crohn’s & Colitis Foundation?

Support the Crohn’s & Colitis Foundation through workplace giving

Body of email

Dear [Name of supervisor or executive],

Charitable giving as a team is a great way to engage employees, and since the giving season is about to start here at [COMPANY NAME], I’d like to suggest that this year we come together as a team to support the Crohn’s & Colitis Foundation.

I think the Crohn’s & Colitis Foundation is a great cause for us at [COMPANY NAME] to get behind. 1 in 100 Americans live with Crohn’s disease or ulcerative colitis, and the Crohn’s & Colitis Foundation is dedicated to finding cures for these diseases.

They have been involved in every breakthrough in inflammatory bowel disease (IBD) research over the past five decades, from discovering the first gene linked to Crohn’s disease to finding predictors of disease progression in kids. They provide valuable educational resources and critical online and in-person support services to patients and their families. And they fight for policies that protect patients’ needs on the state and federal level.

And finally, much like [Company name], the Crohn’s & Colitis Foundation has a stellar reputation. They’ve been around for more than 50 years and are the leading IBD organization in the United States—one our employees can feel good about supporting.

There are a lot of different ways we can get employees involved in fundraising for the Crohn’s & Colitis Foundation, and if you support it, I know they’ll get excited about it too. It could be one team donating together, or a fundraising competition between teams, or even a campaign across our entire company.

To find out how to get started, visit *INSERT LINK*. There are a number of ideas about how companies can get involved. Or, if you want more information, you can contact a Crohn’s & Colitis Foundation representative via that same page.

Thank you for considering this.

Best,
